Terms and Conditions

  • Train Tickets are not included in this Itinerary, to be booked by the Customer
  • Standard check-in time at the hotel is normally 2:00 pm and check-out is 11:00 am. An early check-in, or a late check-out is solely based on the discretion of the hotel.
  • A maximum of 3 adults are allowed in one room. The third occupant shall be provided a mattress/rollaway bed.
  • The itinerary is fixed and cannot be modified. Transportation shall be provided as per the itinerary and will not be at disposal.For any paid activity which is non-operational due to any unforeseen reason, we will process refund & same should reach the guest within 30 days of processing the refund.
  • Also, for any activity which is complimentary and not charged to BHT& guest, no refund will be processed.
  • AC will not be functional anywhere in cool or hilly areas.
  • Entrance fee, parking and guide charges are not included in the packages.
  • If your flights involve a combination of different airlines, you may have to collect your luggage on arrival at the connecting hub and register it again while checking in for the onward journey to your destination.
  • Booking rates are subject to change without prior notice.
  • Airline seats and hotel rooms are subject to availability at the time of booking.
  • Pricing of the booking is based on the age of the passengers. Please make sure you enter the correct age of passengers at the time of booking. Passengers furnishing incorrect age details may incur penalty at the time of travelling.
  • In case of unavailability in the listed hotels, arrangement for an alternate accommodation will be made in a hotel of similar standard.
  • In case your package needs to be cancelled due to any natural calamity, weather conditions etc. BHT shall strive to give you the maximum possible refund subject to the agreement made with our trade partners/vendors.
  • BHT reserves the right to modify the itinerary at any point, due to reasons including but not limited to: Force Majeure events, strikes, fairs, festivals, weather conditions, traffic problems, overbooking of hotels / flights, cancellation / re-routing of flights, closure of /entry restrictions at a place of visit, etc. While we will do our best to make suitable alternate arrangements, we would not be held liable for any refunds/compensation claims arising out of this.
  • Certain hotels may ask for a security deposit during check-in, which is refundable at check-out subject to the hotel’s policy.
  • The booking price does not include: Expenses of personal nature, such as laundry, telephone calls, room service, alcoholic beverages, mini bar charges, tips, portage, camera fees etc.
  • Any other items not mentioned under Inclusions are not included in the cost of the booking.
  • The package price doesn’t include special dinner or mandatory charges at time levied by the hotels especially during New Year and Christmas or any special occasions. BHT shall try to communicate the same while booking the package. HoweverBHT may not have this information readily available all the time.
  • Cost of deviation and cost of extension of the validity on your ticket is not included.

  • Disputes, if any, shall be subject to the exclusive jurisdiction of the courts in New Delhi.
  • In case of road closure due to snow and slippery road conditions, our vehicle will not be allowed to ply. As a precautionary measure, only snow jeeps/chained vehicles are allowed to ply. These vehicles can be hired on a direct payment basis or the same can be arranged by us at an additional cost.
  • During heavy rainfall or snowfall, vehicular movement may remain suspended for traffic. Depending on weather conditions, roads may get blocked anytime without any notice. As such circumstances are beyond our control, we won’t be liable for any such conditions. We will do whatever we can in our capacity.
  • All hotels in Himachal Pradesh are not centrally heated/cooling enabled. Please check the hotel amenities before booking. Some hotels provide heaters on a direct payment basis during winters and the same can be taken on the ground.
  • Due to local cab union issues, the transportation cost to Rohtang Pass is not included in the destination itinerary. But transportation can be arranged in season on a direct payment basis at the location by hiring a local taxi.

 

IMPORTANT: Please Read Carefully Before Making Payment

  1. Booking Confirmation
  • All travel arrangements should be directed to Glacial Adventures. To confirm your booking, a 50% advance payment is required. The remaining balance can be settled upon your arrival in India or before checking into the hotel.
  1. Advance Payment
  • Glacial Adventures reserves the right to determine the advance payment amount based on the nature of the service and the time remaining before the service begins. For certain services, such as train journeys, hotel bookings during peak seasons, or festivals, full payment may be required to secure your reservation. Please note that such payments are non-refundable.
  1. Payment Methods
  • Advance payments can be made via wire transfer to our bank account or in cash at any of our locations. Payments upon arrival in India can also be made in cash.
  1. Transfers Between Tours
  • Transferring from one tour to another will be treated as a cancellation of the original tour, incurring cancellation charges as outlined in these terms, and will require a new booking for the alternative tour.
  1. Booking & Payment Conditions
  • To confirm your booking, a 50% deposit must be paid to our company account via cheque, cash, or net banking. The remaining balance is due at the time of hotel check-in.
  1. Rescheduling Tours
  • Requests to reschedule tours must be submitted in writing at least 7 days prior to the tour date. An additional fee of INR 3000 will be applied for rescheduling.
  1. Amendments and Cancellations
  • If a client wishes to amend or cancel their booking for any reason (including illness, accidents, or personal circumstances), cancellation charges will apply. All cancellations must be communicated in writing. The advance payment is non-refundable, and further charges will be applied as follows:
    • 30 days or more before departure: Non-refundable advance payment.
    • 30 to 15 days before departure: 50% of total tour cost.
    • 14 to 7 days before departure: 75% of total tour cost.
    • 7 days to 1 day before departure: 100% of total tour cost.
    • No Shows: No refund will be provided.
  • Any amendments must also be communicated in writing. Changes will only be processed upon receipt. If any amendments lead to the cancellation of services, cancellation charges will apply as indicated above.
  1. Third-Party Services
  • The cancellation charges outlined apply solely to main and optional tours provided by the Company. For services booked through third parties (e.g., flights or train tickets), cancellation policies of the respective service providers will apply, along with any service charges incurred by the Company for booking or canceling such services.
